Reservation Policies

·        Department members may reserve conference rooms for any day or time (see following exception)

·        Conference rooms may not be used for classes before 4:30 p.m.

·        Non-department members may request to reserve rooms; events that occur during the building's closed hours may be approved on a case-by-case basis. Contact our receptionist at bioeasst@u.washington.edu or call 206-685-2000

·        Students are encouraged to use the WRF Conference Room

·        The Seminar Room and meeting rooms may be reserved for use only on normal UW business days and between 8 a.m. and 5 p.m.

·        Top priority for the Seminar Room and the Auth Conference Room are departmental events, such as site visits, board meetings, and student orientations

 

 

Making a Reservation Request

·        UW members may access the calendar and request a room or equipment reservation

·        Reservations may be made up to 3 months in advance

·        Individuals making reservation requests agree to room and equipment use guidelines

·        Requests will be reviewed by a calendar administrator within one business day

·        The system will not allow reservations that conflict with scheduled events or those with approval pending

·        Reserved equipment may not be available at the reserved time, due to circumstances beyond our control (such as if the previous user has not returned the equipment); have a backup plan

 

 

 

 

 

Terms of Use

 

Rooms

Allow enough time for the following tasks. You MUST make sure they have been completed before you leave the room.

 

·        Clean up the room, throwing away all trash

·        Clean and wipe down the white boards

·        Raise all blinds and close all windows

·        Arrange the furniture the way you found it

·        Turn off the room lights

 

 

Equipment

The department has several projectors that can be reserved and checked out. You are responsible for reserving and taking care of any equipment you need. The requestor will be held liable for damages resulting from negligence or abuse. Failure to comply with the Terms of Use for Equipment will result in denial of future equipment reservation requests.

 

·        Equipment is to be used for university-related purposes only

·        Your request should indicate the actual time you will be in the room or have the equipment; allow time for set-up/tear-down and for returning equipment

·        Do not leave equipment unattended

·        Do not permit another party to use equipment

·        Return the equipment at the end of the reserved time
